Department: Corporate Services – Fulfillment & Distribution Reports To: VP, Corporate Services Direct Report: N/A Location: Headquarters – Onsite Position Summary Spirit of Math is looking for a highly organized and proactive Senior Fulfillment Associate to help coordinate our day-to-day Fulfillment operations and ensure our campuses receive the materials they need accurately, on time, and with clear communication throughout the process.
This role is primarily focused on order management, purchasing, inventory planning, vendor coordination, campus communication and quality control. You will work closely with our Fulfillment Associate, who is primarily responsible for picking, packing, shipping, receiving and warehouse activities. This is still a hands-on role. While most of your time will be spent coordinating and managing Fulfillment activities, you must be comfortable jumping in to pick, pack, receive and ship orders during busy periods or when additional support is needed.
What You'll Do Coordinate campus and departmental orders from receipt through fulfillment. Keep campuses proactively informed about order status, timelines, backorders and delays. Place purchase and replenishment orders and follow up with vendors. Monitor inventory levels, minimum stock quantities and upcoming requirements to ensure materials are available when needed. Maintain accurate inventory, purchasing and order information in Business Central and supporting systems.
Coordinate inventory counts and investigate discrepancies. Verify incoming vendor shipments and resolve purchasing or quantity issues. Ensure orders are accurately prepared, verified and shipped according to Fulfillment procedures. Track outstanding orders and backorders through completion. Maintain Fulfillment records, trackers, KPIs and process documentation. Identify recurring issues and recommend practical process improvements.
Work closely with Marketing, Finance, IT and other departments on Fulfillment-related needs. Provide hands-on backup for picking, packing, receiving, shipping and warehouse organization when required. What We're Looking For 3+ years of experience in fulfillment, inventory management, purchasing, warehousing, distribution or a related operations role. Experience managing inventory, replenishment and vendor orders.
Strong organizational skills and exceptional attention to detail. Excellent written and verbal communication and customer-service skills. Strong Microsoft Excel and Microsoft 365 skills. Experience using an ERP, inventory or order-management system. Ability to manage multiple orders, vendors and deadlines at the same time. Comfortable working in both an office and warehouse environment and performing hands-on fulfillment work when needed.
Ability to lift and carry packages up to 50 lb./23 kg Experience with Microsoft Dynamics 365 Business Central, inventory cycle counts, courier platforms, barcode/scanning systems or process improvement is an asset. Salary: $60,000 - $68,000
