Job Summary: The Operations Coordinator coordinates and executes all key employee, customer, and commercial teams tours at the West Henrietta facility, managing logistics, vendors, schedules, and on site support to ensure smooth, high quality experiences that align with site priorities and operational needs. Aligns with corporate guidelines on branding and supporting commercial teams with key customer interactions. Lead engagement teams to drive engagement activities. Act as a back up to current administrative assistant and reception when necessary.
Partner with corporate marketing, communications and professional affairs Plan and schedule plant tours in coordination with Operations and the commercial organizations. Conduct engaging, accurate, and safety-compliant tours. Prepare facility readiness (badges, PPE kits, demo materials, rooms, signage). Maintain visitor logs, NDAs, acknowledgments, and version-controlled talking points. Keep visual aids, route maps, and content aligned with current processes.
Develop and maintain tour guide materials Provide post-tour follow-up and feedback collection. Responsibilities are not limited to the items listed above; additional duties may be assigned as business needs evolve to support plant operations, visitor engagement, and cross functional priorities including supporting our sister locations Serve as the primary interface between visitors and plant functions.
Route visitor questions to subject matter experts and ensure timely follow-up. Stay informed of changes affecting routes, safety, or messaging. Represent the plant professionally to all internal and external visitors. Coordinate all travel logistics for Corporate Events, including ground transportation, aviation arrangements, and hotel accommodations for attendees and executives. Oversee vendor management for event services such as transportation, and accommodations, ensuring seamless and cost-effective event execution.
Develop and maintain detailed travel itineraries and logistics schedules to ensure all aspects of transportation and accommodations were handled efficiently. Uphold strict confidentiality when handling sensitive information related to logistics and events. Collaborate with internal teams and external vendors, including Catering, IT, Global Security, commercial, engagement. Assist in coordinating assigned corporate events while adhering to established policies and procedures to ensure customer satisfaction.
Develop, deploy, and oversee registration tools, onsite applications, and other event-related deliverables.
