Dispatcher, Hauling Division
Description Position Scope: The Hauling Division Dispatcher plays a critical role in coordinating the movement of Caterpillar machinery and related equipment across job sites, service centers, and customer locations. This position ensures efficient scheduling, routing, and communication between operators, logistics teams, and clients, supporting the timely delivery and pickup of heavy equipment in alignment with operational goals and safety standards.
Requirements Knowledge and Skill Requirements: Strong understanding of logistics, transportation, and dispatch operations. Proficiency in dispatch software and GPS tracking systems. Excellent communication and interpersonal skills. Ability to multitask and prioritize in a fast-paced environment. Strong problem-solving and decision-making abilities. Knowledge of DOT regulations and safety compliance.
Preferred Qualification(s): Experience in waste management, construction hauling, or similar industries. Familiarity with local and regional geography. Knowledge of DOT, OSHA, and industry-specific safety regulations. Education Requirements: High school diploma or GED required. Associate’s or Bachelor’s degree in logistics, business administration, or a related field preferred. Essential Job Functions: Schedule and dispatch drivers to appropriate locations according to customer requests, specifications, or needs.
Billing and invoicing of multiple accounts. Contact outside haulers when necessary to meet customer needs with deliveries and/or pick-ups. Monitor driver routes and adjust schedules as needed to ensure timely service. Communicate with drivers throughout the day to provide updates and resolve issues. Maintain accurate records of driver logs, routes, and service calls. Collaborate with maintenance and operations teams to ensure equipment readiness.
Handle all inquiries and complaints professionally and promptly. Ensure compliance with safety and regulatory standards. Leadership Responsibilities: This position has no direct reports, however, be expected to provide guidance and support to drivers and junior dispatch staff. Assist in training new dispatchers and drivers on procedures and systems. Promote a culture of safety, accountability, and continuous improvement.
Preferred Experience and Skills: 2+ years of dispatching experience in a transportation or hauling environment. Experience with route optimization and fleet management systems. Strong organizational and time management skills. Ability to remain calm under pressure and manage conflict effectively. Physical and Mental Requirements: Ability to sit for extended periods. Mental agility to manage multiple tasks and respond quickly to changing conditions.
Occasional lifting of office supplies or dispatch equipment (up to 25 lbs). High level of concentration and attention to detail. Work Environment: In Office-based with frequent communication via dispatch software, phone, TEAMS and computer systems. Fast-paced and dynamic, with occasional exposure to outdoor conditions. May require early morning, evening, or weekend shifts depending on operational needs.
Will require proper coverage for the department, all PTO & time-off requests must be submitted in a timely manner and approved by the manager. Most work is conducted in a comfortable office environment but exposure to site conditions may also occur. Personal protective equipment must be worn in areas as required. Although the work usually is not considered inherently dangerous, employees must be careful while performing onsite services.
