Human Resources Coordinator Office Location: 601 First Street NW, Grand Rapids, MI 49504 Position Classification: Full-Time Regular About This Opportunity Support the Human Resources department across the full employee lifecycle, with a primary focus on payroll processing, benefits administration, and HR data management. This role is the go-to resource for Team Members on payroll and benefits questions, while also pitching in on recruiting, onboarding, HR compliance, and other generalist HR functions as needed.
Dayforce experience is a plus. Key Responsibilities Foster an environment of diversity and belonging. Enter new hire information into the payroll/HRIS system and support the onboarding process. Process timesheets and prepare data for import into the payroll management system. Update job cost information and enter payroll adjustments. Transmit payroll to the payroll vendor and reconcile reports in preparation for the next payroll cycle.
Prepare manual checks as necessary. Process back-end payroll tasks, including submitting Section 125 reports. Register for state and local payroll taxes; resolve discrepancies with localities and the payroll vendor. Provide payroll information for the annual workers' compensation audit. Review and process expense reimbursement reports. Maintain and update the payroll/HRIS reporting database. Administer benefits enrollment for new Team Members and lead the annual open enrollment process.
Reconcile benefits statements and invoices; conduct audits of payroll, benefits, and other HR programs. Complete 401(k) reconciliation and reporting. Assist with FMLA, STD, and LTD leave of absence administration. Maintain PTO, FTO, and VTO balances. Monitor and respond to unemployment claims. Process prevailing wage and certified payroll requirements. Coordinate COBRA administration with the third-party administrator.
Maintain and review ACA data within the payroll/HRIS system. Verify I-9 documentation and maintain current employment eligibility records. Maintain electronic personnel files, ensuring accuracy and compliance. Serve as a first point of contact for Team Member questions, providing excellent customer service. Support recruiting and hiring processes, including scheduling interviews and processing new hire paperwork.
Assist with the setup and execution of the performance review process. Support Team Member engagement activities and HR programs across the organization. Assist with processing Team Member separations. Perform other duties as assigned. Requirements Bachelor's degree in Human Resources, Business, or a related field, or 4-5 years of equivalent experience. Payroll processing experience required; benefits administration experience preferred.
Dayforce or other payroll/HRIS platform experience is a plus. Ability to organize, prioritize, and manage multiple tasks while maintaining confidentiality. Superior oral and written communication and interpersonal skills. Working knowledge of MS Office, including strong skills in Excel, Word, and Outlook.
