Key Responsibilities and Accountabilities: Office Ownership and Workplace Experience Own the day-to-day operation, appearance, readiness, and professional atmosphere of the Lewisville office, ensuring the workplace consistently reflects company standards.
Serve as the primary point of accountability for office needs, resolving issues directly or coordinating timely solutions with facilities, property management, IT, vendors, and internal partners. Manage office supplies, equipment, mail, deliveries, shipments, common areas, meeting spaces, and related vendor relationships; monitor inventory and service quality and address gaps proactively. Anticipate operational needs, establish practical office procedures, and identify opportunities to improve efficiency, consistency, and the employee and visitor experience.
Welcome employees, executives, candidates, vendors, and visitors with a polished, service-oriented approach while maintaining appropriate security and confidentiality practices. Senior Leadership Support Provide high-level administrative support to Finance and Shared Services leaders, including calendar coordination, meeting logistics, correspondence, document preparation, presentation support, and follow-up on priorities.
Use judgment to prioritize competing requests, identify urgent matters, and ensure decisions and action items are tracked through completion. Prepare professional communications with a high degree of accuracy, clarity, and discretion. Coordinate leadership meetings, team events, and office visits, including rooms, technology, supplies, and catering. Handle sensitive business, personnel, and financial information with sound judgment and strict confidentiality.
Administrative Operations and Coordination Compile, consolidate, and quality-check weekly statistics workbooks and recurring information from multiple functional areas. Maintain organized records, files, contact lists, procedures, and administrative resources so information is current, accessible, and reliable. Partner across departments to support clear communication, coordinate shared priorities, and remove administrative obstacles.
Independently manage routine administrative matters while escalating issues appropriately and presenting practical recommendations when leadership input is needed. Perform other office management and executive support responsibilities as business needs evolve. Required Qualifications: 5+ years of progressively responsible office management or senior administrative experience in a professional business environment.
