Our client in Vaudreuil is currently looking for an administrative assistant who is going to be part of the finance department supporting various financial activities and supporting the internal teams. This role will require someone to be organized and be open to working closely with various departmkents and handling information. Responsibilities Assist with reconciliations, help prepare basic financial reports, and ensure that invoices, payments, and expenses are correctly coded and documented. The role also involves working with accounting software, responding to internal inquiries, and collaborating with the finance team to meet reporting deadlines and uphold compliance with company policies.
Customer & Vendor Liaison: Collect customer contact info, prepare annual support program renewal packages, follow up on unpaid customer invoices, and track outstanding vendor orders. The successful candidate will contribute to efficient financial workflows and provide reliable administrative support to the accounting department. Finance & Bookkeeping: Manage Accounts Payable (AP) and Accounts Receivable (AR), process expense reports, record transactions, perform account reconciliations, and code invoices/payments using accounting software.
Coordinating internally (with our administrative and production managers. Compliance & Administrative Support: Ensure financial documentation follows company policies, respond to internal inquiries, and assist the finance team in meeting reporting deadlines. Qualifications The ideal candidate is well organized and conscientious, has a nice touch with customers and represents our company well (i.e.
professionally & efficiently) when dealing with customers and suppliers Education & Experience: Diploma or certificate in Administration or Accounting, Finance, or a related field (or equivalent clerical experience). Bilingual spoken and written (English and French) English-speaking internal and external [clients/partners/employees] located outside Quebec on a [daily/regular] basis Ability to assist with preparing and reviewing Financial Statements and related documentation.
Attention to detail, strong organizational skills, and the ability to manage multiple tasks and deadlines. Technical Proficiency: Strong foundation in Excel and MS Office; experience with QuickBooks is a major asset. Soft Skills: Outstanding organizational skills, sharp attention to detail, and excellent communication abilities. Industry Bonus: Familiarity with manufacturing or food processing environments is an advantage.
