Our client is currently looking for an administrative coordinator. The Administrative Coordinator plays a central role in coordinating client communication, sales activities, and administrative processes . Acting as a key link between clients, the internal team, sales representatives, and internal departments, this role ensures requests are organized, communicated, and followed through efficiently.
The Administrative Coordinator is responsible for managing incoming client inquiries, coordinating sales appointments and estimates, supporting bid and contract processes, maintaining accurate information across company systems, and providing administrative support to both teams. The ideal candidate is highly organized, proactive, detail-oriented, and comfortable managing multiple priorities in a fast-paced environment.

Monitor all voicemails, including snow company extensions, and ensure calls are returned promptly. Monitor and manage shared email inboxes, ensuring client inquiries are acknowledged and addressed in a timely manner. Provide administrative follow-up on client requests and ensure information is communicated to the appropriate team members. Support the CSR team with escalations and customer service follow-up as required.
Prepare and send Service Estimates (ESTs) based on client requests and sales requirements. Ensure sales estimates are sent promptly and coordinate follow-up with clients asrequired. Coordinate communication and follow-up between clients, sales representatives, account managers, and internal teams. Assist with pre-planning meetings and prepare summaries of key discussions, action items, and next steps.
Maintain accurate client, lead, contract, and project information across company systems. Support additional administrative and coordination projects as required. Snow Season Coordinator Provide backup support to the CSR Manager for escalations and customer-related matters. Assist with recording and communicating snow event bulletins. Coordinate vacation reminders and ensure relevant information is communicated to the appropriate teams.
Assist with snow contract processing as required. Support the CSR and operations teams with administrative coordination during activesnow events. Qualifications Fully bilingual in French and English, with excellent written and verbal communication skills. English-speaking internal and external [clients/partners/employees] located outside Quebec on a [daily/regular] basis Relevant office experience 2 years Strong administrative and customer service and interpersonal skills.
Excellent listening skills, patience, and professionalism when dealing with clients, including difficult or escalated situations. Strong organizational and time-management skills, with the ability to manage multiple priorities and competing deadlines. ntermediate proficiency in Microsoft Office, including Excel, PowerPoint, and Word. Strong technological aptitude and the ability to quickly learn and navigate company software and systems.
Strong attention to detail and a high level of accuracy. Proactive approach with strong follow-through and a sense of ownership.
