JOB SUMMARYThe Adult Education Department Assistant provides administrative and operational support for the department, including purchasing, financial records, student services, records management, and office operations. This position works with faculty, staff, students, and community partners to support efficient department operations and provide quality customer service.This is a grant-funded position supported by the Adult Education grant; therefore, continued employment is not guaranteed beyond the current grant period ending June 30, 2028.MINIMUM REQUIREMENTS / QUALIFICATIONSHigh School Diploma or High School Equivalency DiplomaMinimum of two (2) years of experience in any combination of:Office support (e.g., customer service, scheduling, document preparation, data entry, event coordination, etc.).Bookkeeping (e.g., purchasing, invoice/payment processing, budget tracking, etc.).Valid driver's license.ESSENTIAL JOB FUNCTIONSAdministrative and Departmental Support (35%)Provide administrative support to the Director and department staff, including preparing correspondence, reports, and forms, etc..Maintain calendars and coordinate meetings, appointments, orientations, testing, and training events.Order supplies, maintain office equipment, coordinate service requests, and assist with Adult Education new employee onboarding.Maintain organized files and resources, monitor office workflow, and recommend improvements to support efficient operations.Student Services (35%)Assist prospective and current students with program information, enrollment, registration, orientation, scheduling, appointments, and routine questions.Communicate with students regarding class schedules, testing dates, attendance, and program updates, and assist with required forms and paperwork.Provide customer service while maintaining student information confidentiality.Maintain accurate student files and ensure required documentation is complete and up to date.Records and Data Management (25%)Maintain accurate electronic and paper records, including attendance, testing, enrollment, and other departmental documentation.Enter and update student information in the Adult Education student information system and prepare departmental reports.Verify data accuracy and organize, maintain, and archive records in accordance with institutional retention requirements.Non-Essential Functions (5%)Attend all college functions as required.The Adult Education Department Assistant wil
