Job Title: Assistant Property Manager Job Description The Assistant Property Manager will provide hands-on support for the day-to-day administration and operation of a commercial real estate portfolio in Chicago. This role focuses on property accounting, tenant communication, and general property operations across approximately 5–7 commercial properties. The position is in-office, with full-time availability preferred, though there is flexibility for a reduced or adjusted schedule for the right candidate.
The role suits someone who enjoys working independently, can step into an existing operation with minimal training, and thrives in an entrepreneurial, low-bureaucracy environment. Responsibilities Assist with accounts payable activities, including reviewing invoices, coding expenses, securing approvals, and following up with vendors as needed. Monitor accounts receivable and support rent collection efforts, including tracking payments and following up on outstanding tenant balances.
Assist with tenant billing, rent statements, and other property-related accounting tasks to ensure accurate and timely financial records. Respond promptly and professionally to tenant questions and service requests, coordinating appropriate follow-up and resolution. Prepare tenant notices, letters, and other property correspondence in a clear and timely manner. Coordinate with vendors and building staff regarding service requests, repairs, maintenance, and ongoing property needs.
Maintain organized property files, including contracts, tenant records, certificates of insurance, and vendor documentation. Assist with tenant move-ins and move-outs, including documentation, coordination, and related administrative processes. Support property reporting, reconciliations, and other accounting or operational projects as needed. Provide general administrative and operational support to the Property Manager to ensure smooth day-to-day property operations.
Help manage a portfolio of approximately 5–7 commercial properties, ensuring consistent service and operational standards. Use Yardi and other software tools to support property management, accounting, and reporting activities. Effectively prioritize and manage multiple tasks and deadlines in a fast-paced, hands-on environment. Work largely independently, taking ownership of assigned responsibilities and delivering results with minimal supervision.
Essential Skills At least 2 years of commercial real estate or property management experience preferred. Working knowledge of accounts payable, accounts receivable, and rent collection processes. Demonstrated experience supporting property accounting and administrative functions. Strong organizational skills and meticulous attention to detail. Ability to manage multiple priorities, follow through on assignments, and meet deadlines.
Strong written and verbal communication skills for tenant and vendor interaction. Proficiency with Microsoft Outlook, Excel, and Word. Experience with Yardi or similar property management or accounting software is preferred. Ability to work independently and step into an existing operation with minimal oversight. Ability to work in-office in Chicago, with full-time availability preferred. Additional Skills & Qualifications Experience working with commercial property portfolios, including office or similar asset types.
Customer service and tenant-facing communication in a professional setting. Familiarity with data entry and maintaining accurate, organized records and documentation. Comfort supporting a portfolio of approximately 5–7 properties and collaborating with building staff and vendors. Ability to adapt to an entrepreneurial environment with limited formal structure and processes. Capacity to build strong working relationships within a small, tight-knit team.
