PURPOSE The intent of this job description is to provide a representative summary of the major duties and responsibilities performed by the incumbents of this job.
Incumbents may be requested to perform job-related tasks other than those specifically presented in this description. ESSENTIAL DUTIES AND RESPONSIBILITIES Answer all phone calls in a professional and polite manner, ensuring all necessary information is collected from callers. Update, accurately and in a timely manner, the Time and Attendance System (TimeClock Plus) accurately and on time, with information received from telephone calls, emails, reports, etc.
Update, accurately and in a timely manner, the Call Log Report (currently located in SharePoint). Update, accurately and in a timely manner, the necessary mobile group chats/email to relevant department heads/coordinators and leads with information regarding absent employees by department and shift. Review all handover reports from the previous shift and complete necessary outstanding tasks. Generate and send via email, Daily Over-Time Reports for all departments accurately and in a timely manner i.e.
no later than 9:00am for the day prior or at any other time directed by Management. Enter, into TimeClock or any other Time and Attendance System, all approved Over-Time Notes for all departments accurately and in a timely manner, as per Company policy. Enter, into FRS, TimeClock or any other Time and Attendance or Scheduling System, department rosters/employee work schedules, as assigned. This must be done accurately and in a timely manner as per Company policy.
Enter or edit, into TimeClock or any other Time and Attendance System, all necessary information received regarding Training, Vacation, Maternity Leave, Change of Shifts, Re-rosters, Sick, Sick-Leave, Bereavement Leave, Suspension, No Pay Leave, etc. Prepare a Daily Shift Report as outlined by Management regarding the events of the shift worked. Prepare a handover report as outlined by Management, prior leaving duty.
Comply with the responsibilities detailed in the station's QHSE Management System Manual and the manuals under your responsibility and management, ensuring compliance with the requirements in accordance with ISO 9001, ISO 14001, ISO 45001 and ISAGO standards.
