We invite you to join the world of luxury hospitality at Fairmont Southampton as our new Transient Coordinator. Reporting to the Reservations & Revenue Manager, the Transient Coordinator is responsible for managing and optimizing all individual leisure guest bookings, delivering exceptional service, and contributing to overall hotel revenue and guest satisfaction., Reservations Processing & Guest Engagement Handle incoming FIT reservations via phone, email, and online requests, ensuring accurate and prompt booking confirmations.
Provide curated, personalized service by offering resort packages, add-ons (spa, golf, dining, activities), and upselling to enhance guest experience and maximize revenue. Respond promptly to guest inquiries-pre-arrival, during stay, and post-stay-with professionalism, friendliness, and attention to detail. Yield & Revenue Support Collaborate with the Reservations & Revenue Manager to ensure room inventory, rate codes, and availability are correctly maintained in PMS and CRS systems.
Monitor booking pace, pickups, and cancellations; assist in forecasting demand and suggesting adjustments to optimize occupancy and ADR (Average Daily Rate). Implement dynamic pricing strategies for FIT segments under guidance from the Revenue team. Guest Data & Communication Management Ensure accurate guest data collection (preferences, arrival time, special requests) at time of reservation or check-in, and maintain guest profiles.
Coordinate pre-arrival guest communication: welcome messages, resort information, special offers, and added-value suggestions. Assist with group check-ins or handling special requests for families, couples, or long-term stays when needed. Collaboration & Cross-Department Coordination Work closely with Front Desk, Concierge, Spa, Golf, F&B, Activities, and Housekeeping to ensure seamless guest journey and satisfaction.
Communicate guest preferences and special requests to relevant departments and ensure delivery of tailored services. Support the Reservations team during peak periods or high demand seasons. Administrative & System Tasks Maintain accurate reservation records, logs, and documentation per company and brand standards. Generate reports on reservation trends, cancellations, stay duration, and guest feedback, and relay insights to the Revenue Manager.
Ensure compliance with data protection policies, reservation procedures, and internal standards. Other Responsibilities Participate in team meetings, training sessions, and continuous improvement initiatives. Take an active role in suggesting enhancements to the booking process, guest communication flow, or service delivery for FIT segments. Perform other assigned duties supporting the Commercial and Reservations teams.

Previous experience handling individual and leisure guest bookings (FIT) is a strong asset., Bachelor's degree in Hospitality Management, Tourism, Business, or a related field is preferred. Relevant professional certifications in hotel operations, revenue management, or reservations systems are considered an asset. Equivalent experience in luxury hotel reservations or revenue departments may substitute formal education.
Competencies, Knowledge & Skills Comfortable using Property Management Systems (PMS), Central Reservation Systems (CRS), and reservation software. Proficient in Microsoft Office (especially Excel), email communication, and data entry. Strong organizational skills with an eye for detail and accuracy.
