Job description We are looking for a proactive and customer-focused Workplace Delivery Officer to help ensure the smooth running of our office environment through a consistent on-site presence five days a week. As a key member of the Estates and Workplace team, you will play an important role in creating a welcoming, safe and efficient workplace that enables colleagues to perform at their best.
Acting as a visible point of contact for colleagues, visitors, contractors and suppliers, you will deliver a high-quality workplace experience while supporting the effective day-to-day operation of the office. This is a varied and hands-on role, combining elements of workplace operations, facilities coordination, front-of-house services and office administration. You will work closely with a wide range of stakeholders to ensure workplace services are delivered efficiently and that issues are resolved quickly and effectively.
Please note this role requires a full-time on-site presence, five days per week. Key Responsibilities Workplace Operations Support the day-to-day operation of the workplace, ensuring services are delivered efficiently and effectively. Conduct regular workplace inspections and walkthroughs to identify issues and coordinate appropriate action. Help maintain a safe, welcoming and professional office environment that supports colleagues in carrying out their roles effectively.
Ensure workplace standards, policies and procedures are adhered to, including clear desk requirements and hybrid working arrangements. Front of House and Customer Service Act as the primary on-site point of contact for colleagues, visitors, contractors and service providers. Deliver a professional and responsive front-of-house service, creating a positive experience for colleagues and visitors. Manage visitor access arrangements, building passes and inductions where required.
Respond promptly to workplace queries and issues, escalating where appropriate. Facilities and Supplier Coordination Build and maintain effective working relationships with landlords, suppliers, contractors and internal stakeholders. Support the management and coordination of workplace services and supplier activity. Monitor and report workplace issues, ensuring timely resolution and minimal disruption to business operations.
Support the management of locally delivered workplace and facilities contracts. Operational Support and Administration Maintain accurate workplace records, registers, logs and operational data. Raise purchase orders and process invoices in line with organisational policies and procedures. Support reporting activities, audits and the collation of management information. Coordinate workplace services including post handling, stationery management, hospitality supplies and personal storage allocation.
Team and Business Support Support the wider Estates and Workplace function in areas such as health and safety, sustainability and workplace improvement initiatives. Assist with workplace communications, colleague engagement activities and office inductions. Provide flexible support across the team to meet changing business needs and priorities.
