Description Job Title: Ski & Snowboard Program & Office Coordinator Reports To: Ski Program Director Job Status: Seasonal Full-Time Salary, Exempt (October through April) Location: BOEC Adaptive program office at Keystone Position Summary The BOEC Ski & Snowboard Program & Office Coordinator is a seasonal position responsible for overseeing daily office operations, administrative coordination, and local site logistics at the BOEC Adaptive Program at Keystone.
Working under the direction of the Ski Program Director, this role ensures smooth day-to-day administrative operations, accurate lesson reservations, and a welcoming participant experience. This position combines administrative duties and as needed on-hill operations, including providing adaptive ski and snowboard instruction as needed, assisting with staff and volunteer training, and supporting staff continuing education under the direction of program leadership.
Essential Duties & Responsibilities. Office & Administrative Operations Oversee daily Keystone office operations, including answering phones, welcoming guests and volunteers, maintaining office cleanliness, and managing inventory and supplies. Warmly greet participants, families, and guests upon arrival, ensuring an inclusive, supportive, and efficient check-in experience. Facilitate and lead the daily morning staff, intern, and volunteer meeting, reviewing lesson assignments, participant details, weather conditions, resort updates, and daily safety notices. Process individual & group lesson reservations, ensuring accurate data, waivers, and participant details are recorded in Salesforce.
Update daily staff and lesson schedules in Salesforce to reflect actual lessons, staffing, and schedule changes. Work closely with the Breckenridge Ski Office Coordinator to review financial transactions—including cash, check, and credit card payments for lessons, reservations, retail sales, and donations—and maintain petty cash while reconciling transaction receipts with BOEC finance staff. Attend ski program staff meetings and general BOEC staff meetings as requested.
Adaptive Ski Instruction, Training & Staff Development Provide adaptive ski and snowboard instruction when needed, including during periods of high participant volume, staff shortages, or other program needs. Provide on-hill assistance during staff, intern, and volunteer training clinics under the direction and guidance of the Assistant Ski Program Director. Support continuing education throughout the season, identify training needs, and coordinate scheduling and registration for interested staff.
Collaborate with the Ski Program Director and Assistant Director to schedule and support training clinics for Keystone Resort staff on lift procedures for adaptive skiers and lift evacuation procedures for Ski Patrol. Assist with on-hill safety monitoring, lesson observation, and tracking incident reports for management review. Assist with the organization, setup, and maintenance of adaptive ski equipment.
Program & Site Operations Work closely with Wilderness Program staff in coordinating wilderness groups at the Keystone program office. Assist the Ski Program Director and Assistant Director with initial daily lesson assignments and scheduling for instructors, interns, and volunteers. Report staff performance, conduct, safety, and other workplace concerns to the Ski Program Director or Assistant Ski Program Director, including concerns that may require coaching, corrective action, or disciplinary follow-up.
Serve as an administrative liaison with Keystone Resort staff and local community contacts.
