Job Title: Engineering Administrator Job Description The Engineering Administrator supports the day-to-day administrative and operational needs of a rapidly growing engineering organization. This role works closely with the Facility Manager and engineering teams to coordinate schedules, manage office logistics, support interviews, track expenses, and ensure smooth operations across the office. The position is ideal for a proactive, highly responsive self-starter who enjoys taking initiative, solving problems, and helping a fast-paced, high-growth engineering environment run efficiently.

Responsibilities Support engineering and facilities administration activities to keep daily operations running smoothly. Coordinate schedules across multiple stakeholders and teams, ensuring meetings and activities are well organized. Assist with interview logistics and visitor coordination, including scheduling, communication, and on-site support. Manage office-related administrative tasks such as catering and lunch coordination for meetings and team events.

Support expense tracking and budget-related activities, including basic data entry and reconciliation in spreadsheets. Assist employees with internal systems and tools, including troubleshooting basic access and navigation issues. Coordinate with vendors and external visitors to support office and engineering operational needs. Help organize office operations and engineering team activities, including events, meetings, and team logistics.

Perform occasional physical tasks, such as moving supplies, equipment, or boxes, to support facilities and office needs. Maintain accurate records, inventories, and documentation related to engineering administration and office operations. Use Microsoft Excel to manage data, perform lookups, and support reporting or tracking tasks. Demonstrate a strong sense of ownership and urgency by following up on tasks without being prompted and ensuring completion.

Identify opportunities to improve administrative processes and propose practical, efficient solutions. Essential Skills 2+ years of experience in engineering administration, office administration, operations, or administrative support. Strong organizational and time management skills with the ability to handle multiple tasks and priorities. Comfort working with technology and learning new systems independently.

Advanced Microsoft Excel skills, including lookups, data mapping, and spreadsheet management. Ability to troubleshoot and navigate software tools without extensive instruction. Strong sense of ownership, urgency, and accountability for assigned tasks. Proactive, resourceful, and highly responsive communication style. Comfort working in a startup or high-growth environment. Experience with project coordination or engineering administration activities.

Accurate data entry skills and attention to detail in documentation and tracking. Assets Bachelor’s degree is a strong asset. Experience supporting engineering teams or facilities operations. Familiarity with inventory tracking or basic materials support. Experience coordinating with vendors and processing basic purchase-related tasks. Ability to collaborate effectively with cross-functional teams, including engineering and facilities.

Demonstrated initiative in improving administrative processes and office organization. Work Environment This role operates within a fast-paced, high-growth engineering organization that focuses on advanced technology in the timing space. The Engineering Administrator works closely with the Facility Manager and engineering teams in an office-based environment, supporting the timing division and related operations.
