Job Title: Project Coordinator Location: Aliquippa, PA Pay Rate: $22 - $32 an hour A highly reputable organization is seeking a Project Coordinator to join their team. The role consists of various responsibilities including but not limited to overseeing and directing HVAC installation and service projects from initial concept through completion, managing a team of 10–12 service technicians. This role combines project management, scheduling, purchasing, and people leadership with a strong emphasis on communication via phone and email.
The Assistant Manager coordinates service tickets, ensures timely scheduling and follow-up with warranty partners, supports limited upselling to existing customers, and works closely with the executive team in a fast-paced, family-owned environment that offers growth, advancement, and exposure to high-volume residential construction. Responsibilities Oversee and direct HVAC projects from conception to completion for production and custom homebuilders as well as the general public.
Manage and supervise multiple tasks required to complete HVAC installation and service projects on time and within scope. Manage 10–12 service technicians, including crew configurations, daily assignments, and overall performance. Coordinate and schedule HVAC installation and service work, ensuring efficient use of labor and resources. Receive service tickets from a third-party answering service, review hourly reports, and make outbound calls to schedule service appointments.
Communicate scheduling details to warranty companies and other stakeholders, including through external home warranty platforms. Utilize internal and external software systems for scheduling, pricing, purchasing, project tracking, and completion reporting. Oversee HVAC design and installation processes, ensuring quality standards and adherence to project specifications. Serve as the primary communication link from project inception to the project team, ensuring the accurate flow of information.
Communicate clearly and professionally with customers and all members of the organization via phone, email, text, and in person. Perform limited sales activities focused on upselling services and solutions to established customers rather than cold calling. Recruit, hire, train, develop, and, when necessary, terminate team members in alignment with company policies and project needs. Troubleshoot HVAC systems during installation and service to resolve issues and maintain project quality.
Manage and purchase HVAC parts, materials, and equipment, coordinating their delivery to job sites, the warehouse, or the office. Complete accounting and bookkeeping tasks related to projects, including tracking costs and ensuring project profitability. Assist with and be cross-trained on administrative duties such as payroll processing and entering work orders. Handle customer service inquiries and issues, applying conflict and crisis management skills to resolve problems effectively.
Plan projects with a strong focus on time management, resource allocation, and the ability to see the broader project “big picture.” Work collaboratively with other employees, take direction from leadership, and contribute positively to a team-oriented environment. Perform physical indoor and outdoor activities related to HVAC work, including lifting and carrying materials as needed. Use and maintain hand tools, machines, and other equipment commonly used in HVAC work in a safe and effective manner.
Follow oral and written instructions accurately and ensure that work is completed on your feet for extended periods when required. Essential Skills At least 2 years of relevant experience in construction, trades, utilities, industrial environments, manufacturing processes, or general labor. Strong phone communication skills, with the ability to handle high volumes of outbound and inbound calls professionally.
