What will you do? The Events Administrator provides administrative and operational support for the planning and execution of corporate events, conferences, trade shows, meetings, and other special events.

This role is responsible for tracking and processing invoices, payments, and accruals; maintaining event records, databases, documentation, and timelines; supporting budget tracking and financial reporting; managing registration data and event-related programs; creating and maintaining event calendars and meeting invitations; monitoring and responding to shared event email inboxes; and supporting communications with vendors, sponsors, attendees, and internal stakeholders.

By ensuring event information, financial records, communications, and administrative processes are accurate, organized, and completed on time, the Events Administrator plays a key role in supporting the successful delivery of events and departmental objectives through strong organization, attention to detail, and effective workflow management. This is a temporary contract with an estimated end date of December 2026.

Responsibilities Support the administrative planning and execution of corporate events, conferences, trade shows, meetings, and special events. Process and track event-related invoices, payments, purchase orders, and accruals, ensuring accuracy and compliance with company policies. Support budget administration by maintaining financial records, reconciling expenses, and preparing financial reports and summaries.

Maintain and update event databases, registration systems, participant records, and other event-related documentation. Administer event-related programs, including points, recognition, or rewards programs, ensuring accurate tracking and reporting. Create and maintain event calendars, meeting invitations, schedules, and key project timelines. Monitor and manage shared event email inboxes, responding to inquiries and directing requests to appropriate team members.

Prepare reports, presentations, meeting materials, agendas, and other event-related documents. Support communications with vendors, sponsors, attendees, suppliers, and internal stakeholders. Maintain organized electronic and physical filing systems for contracts, event records, financial documentation, and project materials. Assist with the collection, tracking, and reporting of event metrics, registration data, and program participation.

Coordinate administrative processes related to meetings, events, and departmental initiatives, ensuring tasks are completed accurately and on time. Ensure the accuracy, completeness, and confidentiality of event and financial information. Support post-event activities, including reporting, invoice reconciliation, document management, and record retention. Contribute to the continuous improvement of administrative processes, tools, and workflows within the Events department.

Qualifications & Experience Post-secondary education in, Business Administration, Event Management, Hospitality, Marketing, Communications, or a related field preferred. 1–3 years of experience in administrative, event administration, coordination role or a related role. Experience supporting corporate events, meetings, conferences, trade shows, or special events is considered an asset
